4. Pharmacy is a health information custodian (PHIPA)
An Ontario pharmacy is a health information custodian under Ontario's Personal Health Information Protection Act, 2004 (PHIPA). We handle personal health information in accordance with PHIPA and applicable professional and pharmacy requirements. We do not collect, use or disclose personal health information unless authorized or required by law, or with valid consent, and we limit collection, use and disclosure to what is reasonably necessary for the purpose.
Our information practices, summarized in this policy, cover how information is collected, used, disclosed, retained and disposed of, and the safeguards that protect it (sections 3 to 11).
5. Consent
We collect, use and disclose personal information with your knowledge and consent, except where permitted or required by law. By submitting a request, you consent to the uses described here, including contacting your veterinarian and, for transfers, your previous pharmacy. You can withdraw consent for marketing at any time. Withdrawing other consents may limit our ability to provide services, and some pharmacy records must be kept even where you withdraw consent.
6. Prescription and file uploads; secure channels
Files you upload are sent over an encrypted connection to private storage. They are not published and not placed in public website storage. Access is limited to authorized pharmacy staff and is recorded in an access log. We use time-limited secure links to open files and do not send prescription files by regular email. We keep a second, access-controlled backup copy of uploaded files so that they are not lost. Submit prescription information and other sensitive health information only through the secure mechanisms provided by FurMed, and please do not send it through unsecured public channels unless we specifically instruct you to.
Internet prescriptions are recorded in the pharmacy's regular prescription-record system and our online operation is available for inspection by the Ontario College of Pharmacists.
7. Who we share information with

Please do not share personal health information, prescription details or your pet's medical details in the chat; ask for a pharmacist callback instead. The assistant does not receive your prescription files. FurMed does not store the text of your chat messages. Medication, dosing and symptom questions are not answered by the assistant and are referred to a pharmacist. Spoken replies are produced by your own device. The assistant is not veterinary or medical advice.
8. Cookies and analytics
We use cookies and similar technologies for essential site functions (cart, checkout, security) and, where you agree, for analytics and to understand website usage. Analytics tools:. We do not place analytics or advertising trackers on the prescription upload form or its confirmation screens. You can control cookies in your browser settings or through our cookie banner. Blocking essential cookies may stop checkout from working.
9. Marketing, newsletter and text messages (CASL)
We send transactional messages (status updates, payment links, order and shipping notices, and communications needed to administer a prescription) as part of providing the service.
We send commercial electronic messages, such as our newsletter, only with your consent as required by Canada's Anti-Spam Legislation (CASL). Newsletter sign-up is an opt-in that you choose; we do not pre-tick consent boxes. Each commercial message identifies FurMed, gives our mailing address and contact details, and includes a working unsubscribe mechanism. You can unsubscribe at any time using the link in a message, by replying STOP to a text message, or by contacting us, and we will honour the request promptly (within 10 business days at the latest). Unsubscribing from marketing does not stop messages that are necessary to provide pharmacy services, process an order, administer a prescription or respond to your request. We keep a record of consent. Text message and data rates may apply.
10. Security
We maintain administrative, technical and physical safeguards designed to protect information against unauthorized access, collection, use, disclosure, copying, modification, loss, theft and disposal, appropriate to its sensitivity. These include encryption in transit, private storage, role-based access, two-factor authentication for staff accounts, access logging and staff confidentiality obligations. No system can be guaranteed to be completely secure, and we continue to assess and improve our safeguards.
11. Retention and disposal
We keep information only as long as needed for the purposes described and to meet legal, professional, regulatory and pharmacy record-retention requirements. Retention periods follow applicable legal, regulatory and professional requirements for each type of record (prescription records, uploaded files, order and payment records, chatbot conversations and marketing records). When information is no longer required, it is securely destroyed or anonymized using safeguards appropriate to its sensitivity.
12. Access and correction
Subject to legal exceptions, you may ask to see the personal information, including personal health information, that we hold about you, and ask us to correct information you believe is inaccurate or incomplete. We may verify your identity first. Some information may be withheld as permitted or required by law, and some pharmacy records must be retained even where deletion is requested. We respond in accordance with applicable law and aim to respond within the time required by applicable law.

14. Privacy breaches
If a breach of security safeguards involving personal information occurs, we will assess it, contain it, and where required notify affected individuals, the relevant privacy commissioner(s) and other bodies, and keep a record of the breach.

This policy is intended to align with Ontario's PHIPA, Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), CASL, and the Ontario College of Pharmacists' privacy and record-keeping requirements.
